Bookings
Schedule appointments, manage blockouts and leave, send confirmations, and settle sessions at the end of the appointment.
Configure artists, seats, appointment types, studio hours, and reminder copy under Settings → Bookings before you start.
Calendar
Open Bookings. Tabs: Calendar | Events.
- Choose Day, Week, or Month.
- On multi-seat shops, switch layout between Seats and Artists, and filter with the chips above the grid.
- Use Add → Booking, Blockout, Leave, or Cover (Cover is for multi-seat shops only).
Confirmed bookings show a bright outline. Public holidays can appear as chips when enabled in Settings → Bookings → General.
You need at least one active artist and one active seat before you can book. If your plan seat limit is exceeded, deactivate unused seats under Settings → Bookings → Seats.
Creating a booking
- Choose Add → Booking.
- Pick a Client (required — create one under Contacts if needed).
- Set Artist, Appointment type, Date, Start, and End. Optional: seat, summary, description, and quote (Fixed or Hours × rate).
- Optionally Email deposit request with a deposit amount when creating.
- Choose Create booking.
Statuses: Booked, Confirmed, Cancelled, Completed. Delete booking cancels the appointment and removes it from the calendar.
Confirmations and reminders
On the booking, use Send confirmation with Email or SMS (AU mobile), or Confirm manually. Clients can also confirm from the link in a reminder (/c/…) with Confirm Appointment.
Reminder lead time, default channel, and message copy live under Settings → Bookings → Confirm reminder. Pre- and post-appointment emails are configured on the neighbouring tabs.
SMS confirmations require an Australian mobile number. Message templates must include the placeholders your settings screen lists (for example
{url}and{shop}).
Events
On Events, filter by type and add:
- Blockout — time blocked for one artist or all artists; optional recurrence.
- Leave — artist away for a date range.
- Cover — temporary seat assignment for an artist (multi-seat only).
Staff limited to selected artists cannot manage other artists’ bookings or shop-wide blockouts.
Settlement
When the session is done:
- Open the booking and choose Settle booking.
- Set the Session fee (Flat fee or Hours × rate).
- Optionally add Products from the POS catalog.
- Apply deposits from the client’s available credit if needed.
- Optionally Send email receipt, then Take payment (or Complete settlement when nothing is due).
Payment options match POS: full Square, configured manual methods, Gift card, and split tenders. Settled bookings become read-only. Settlement creates an in-store order with a booking prefix.
Deposits and enquiries
From a booking you can View deposits, Add deposit, and link Contact inbox enquiries under attachments. Paid deposit credit on the linked client is applied at settlement.
